Highly recommend this booking platform. As a fitness trainer running my own business, these event pages are professional and easy to use on the back end. Customers also love it and find the pages easy for them to navigate! Customer service is excellent.

I got in touch via the chat button as I had trouble getting my payment to go through to change my plan. The chat bot recognised it needed a person to help and I was redirected to Dani within a few minutes. She was super helpful and increased my pain for me for a couple of days so I could still take bookings while I sorted the payment issue so there was no impact on my business. It was a simple fix but I I felt she went beyond and was really impressed - thank you!

We got in touch with Bookwhen in April 2026 seeking a cost effective, reliable and intuitive platform in the hope that event management would be easier to manage and user friendly for the user. Managing bookings, tracking attendances and income as well as automated payments with little hassle are helpful features that we appreciate. The support team (AI bots and Real people are absolutely fab - responding quickly with clear and helpful assistance. From testing the system to implementation / setup it took us more than the original free time given; however Bookwhen were so accommodating to ensure this system was right for us. There are a few areas areas that we have suggested to make this a useful tool for the customer experience as well as saving time and providing efficient administration; and these have been taken into consideration. I have used Bookwhen for my business (an out of school kids club) and more recently for my day job (random events and monthly events). It's easy to use, looks slick and professional. Automatically creates an attendee list, as well as the option to send out reminders of booking confirmation to maximise attendance.

I’ve been using BookWhen for the last six months having used another booking system previously. I’m extremely happy with how easy it is to use, both from the backend and as a user - I’ve had many positive remarks from my yoga students! I’ve also found their support fantastic - not only their bot, but also I’ve had human assistance quite a few times and quickly, which was not the case with my previous system. I use bookwhen to run my dance classes. It’s easy to use, has plenty of tutorials and reduces so much of my admin time and payment collection. The tiers feel fairly priced so that even someone with a very small business can still afford it and adjust as they grow

The BookWhen system has made our workflow so much more efficient than our previous manual approach. We found it relatively intuitive to setup and deploy. We use the discount function and had to change our approach slightly to work with BookWhen, however the advantages far outweigh any limitations. A great option is the auto reminder email function. Once deployed BookWhen fully manages our bookings and payments without any manual intervention. We extract reports via downloads to Excel. We highly recommend BookWhen for small, resource limited clubs.

Bookwhen were so helpful and patient in helping me set up an on line booking system for an indoor fitness event. I will be definitely using them again when we run the event again next year. Bookwhen is super easy to navigate and when you need a little help to do something beyond the basics, the video demos are brilliant. So for example, setting up discounts for block bookings.

I can easily find customer bookings and details and can run a report/ download bookings.
Linking to a site such as PayPal is very straightforward too.

Transferring tickets(bookings) or cancelling tickets is very straightforward too. Customers are kept up to date with email confirmations.

Setting up classes is super easy and you can set up a series of sessions and link to discounts without any issues. You can attach documents for customers to download and include images.

What I love about bookwhen is that I was able to set up everything on my website on my own, it was dead easy! The bookings for my classes go nice and smooth. I only wish the clients could have both options of using a card payment or PayPal one.

This new system has changed our clubs booking beyond what we expected so much simpler and even the older members are getting to grips with it wish we had done this year's ago any club hesitating don't plenty of help on setting up and they are always very abligeing if you are struggling go give it a go 😊 😀

Really good for running yoga classes. It's great to be able to set different prices, class passes, and special events easily. The system enables you to contact people, easily 'hide' or unpublish events for weeks off, and quickly and easily set up new in-person and/or online events. Does everything I need to help me automate bookings, basically.

Straightforward to set up and simple to administer. Free tier works very well in our low volume situation but solution will clearly scale.

The customer service and quick response time is what keeps me with Bookwhen, alongside the easy to use booking system of course!
Lots of good features which, once you understand them, are easy to use. There are a few things missing that I'd like to see - such as the ability to cut off bookings by hours before rather than the current 1 day option.
Overall the system works well for my needs and I'm glad I chose them.

This works really well for my yoga bookings. It's very flexible and doesn't cost the earth (I use the lowest paid tier as only run a few classes each week). Best of all is the responsive and fast customer service. Every time I've reached out I've had a rapid response from someone who is knowledgeable and helpful.
